Refund & Cancellation Policy

Please read this policy carefully before completing your registration.

Last updated: 8 July 2026

All fees are non-refundable

By registering for 2026 IEEE NEPCON, you acknowledge and agree that all registration fees are non-refundable and non-transferable once payment has been made, regardless of the mode of attendance (in person or online).

1. No refunds

Registration fees, once paid, will not be refunded under any circumstances, including but not limited to: withdrawal of a paper, inability to attend, visa denial, travel disruption, or a change from in-person to online participation (or vice versa).

2. Non-transferable

A paid registration is tied to the registered author/paper and may not be transferred to another person, another paper, or a future edition of the conference.

3. Bank & gateway charges

Bank and payment-gateway charges and applicable taxes are levied as per the payment aggregator's norms and are not part of any amount considered for refund.

4. Duplicate or erroneous payments

In the rare event of a verified duplicate or clearly erroneous payment (for example, the same registration charged twice), the duplicate amount may be returned after deduction of applicable bank and gateway charges. Requests must be raised in writing to the organizing committee within 7 days of the transaction, with the payment reference and proof.

5. Cancellation by the organizers

If the conference is cancelled or rescheduled by the organizers due to circumstances beyond their control (including force majeure events), registrations will ordinarily be honoured for the rescheduled event. Any remedy in such cases is at the sole discretion of the organizing committee and the IEEE Nepal Section.

6. Contact

For questions about this policy, contact the organizing committee via the Contact page before registering.

This policy is provided as a template for the organizers to review and adopt. Please confirm the final wording and any statutory requirements before publishing.
